Settings: Socion would give access to Entity administrator to choose the desired settings to control the functionality of the features in the Details section under Entity tab of the portal. Entity Admin can also change the details of the entity like address, business registration numbers etc.
Application Access: You have to choose the desired application for the entity. Then, you have to activate the same application under the Details tab of Program tab
Once these are chosen by the you at the Entity level, the selected settings would be visible to each Program under the Entity. Program admins would have the ability control these at the program level.
Example: If the Entity Admin chooses Tasks for the Entity, then he/she would also have to choose Tasks under the Details section of Program tab.
Now the Program Administrator can control the access to Tasks at the program level.
In the Roles tab under Entity section, you could add another entity administrator by clicking on the “+” symbol and searching by the name or mobile number or email ID of the member to be added.
Please note that member should have already registered on PDA Participant App or PDA Program Portal for them to be added to any role in the program portal.
You could choose which Entity Administrator(s) should get the email alerts regarding the data on entity/program.
Introduction to PDA License Models
Program: As a Partner, when you sign up with Socion to use the services of PDA platform, you can create a program(s) on the portal with the desired PDA features that you have signed up for, as per the SaaS agreement. The program name and description in the PDA program portal would be defined by you. You may have one or multiple programs depending on the requirement.
PDA platform capabilities are offered to partners through either the Monthly Participant Unit (MPU) licenses model or Annual Participant Unit (APU) licenses model.
MPU: Each user recorded to have any number of interaction(s) on one or more of the applications that are part of the platform (Frontline Connect app, Participant App, Trainer App, Program Portal or other apps that may be available in the future) during each month will result in the consumption of ‘1 MPU’ for that month. A “month” (referred above) is defined as a thirty-day period, beginning from the start of the contract period.
APU: Each user recorded to have any interaction on one or more of the applications that are part of the platform (Frontline Connect App, Participant App, trainer App, Program Admin portal or other apps that may be available in the future) during the entire year will result in the consumption of ‘1 APU’ for that year. An “year” (referred above) is defined as a 12-month period beginning from the start of the contract period.
You may set up and operate multiple programs. You will incur a charge of 1 MPU or 1 APU per user, per program (refers to ‘Programs’ set up on the PDA program portal), as soon as a user is recorded to have engaged in an interaction on the platform at least once during a month (for MPU) or once during the year (for APU).
User here will include:
a) Those that are assigned an administrative ‘role’ (program admins, content admins, trainers and verifiers or other roles that may become available in the future) in the PDA program portal
b) Participants who use the PDA participant app to scan-in (or out) of a session(s) conducted under a program during the month.
For MPUs - It is possible that one participant is part of multiple programs during the same calendar month, and uses the PDA platform across those programs. Charges will be calculated based on his/her activity in program(s) each month (even if it is for a couple of days in a month), with one MPU billed for each program in which user records any activity.
Login to PDA program portal and click on “Programs” in the Entity tab. Click on the “+” symbol to create the program
Now, enter the program name (this name will appear on the participant attestations), a detailed description of the program, start and end date of the program and number of licenses (MPUs/APUs) that you would like to allocate for this program. You can also add relevant documents as this can act as a repository for the program documents.
If there is only one purchase present at the entity level, the licenses will be allocated from that purchase automatically. If there are multiple purchases present, then the system presents you with a choice and you can select the appropriate purchase option from which you would want the licenses to be allocated for the program.
Entity admins can onboard a program administrator(s) after the program is created. This can be done by accessing the section Program > Roles. Once an Entity Admin onboards a Program Admin for a program, then that Program admin can login to the portal and manage various aspects of the program.
Please note that unless the licenses are allocated, the program will not be made active. You could allocate and de-allocate licenses to any program based on the program need. This flexibility completely rests with the Entity Administrator. Allocations and de-allocations will need to happen within the purchases made.
If there are excess licenses allocated to any program, you could also deallocate the allocated licenses from one program and use it for another, as required.
Example: If you have 1500 licenses in Program AA and there is a requirement to create a new program – Program BB, where 500 licenses need to be allocated. If you have no licenses remaining from your purchase, then you can deallocate 500 licenses from Program AA and allocate the same to Program BB
Please refer to the below screenshot for license allocations and de-allocations.
You can view and analyze the data on number of licenses used and duration by clicking on the number of licenses used
Note:
· You can only allocate from the available balance number of licenses. Else a warning message is shared with the purchase details
· You could also download the license allocated data for different programs for any further analysis, if required
Task Licenses: If any program has purchased tasks, then you can allocate or deallocate the task licenses in the same process as mentioned earlier.
Please note that you need to choose the Task licenses option while allocating.
While deallocating task licenses, you can choose the desired program name with License type as "Tasks Prepaid" and then deallocate the required number of task licenses by clicking on "-" sign.
License Purchases: All the license purchases would reflect in the License Purchases section in the License tab
Extending an existing program
You may have the need to extend an existing program by a few more months/weeks. You can go to details tab in the Program section and select the Edit option. You will be able to change the end date to a desired future date.
System will prompt you for entering the licenses (MPUs/APUs) that you would need to allocate for the extended period.
