What are Master Lists?
In any organization/entity, there is certain data/information that is static (and non-transactional) and holds relevance/significance only at the organization level. This information typically describes an organization’s scope, span, depth and specificity of operations. These can be captured on PDA portal using the Master Lists feature. Master lists could include key business information like customer master, branch master, vendor master etc.
How is a Master List created?
A Master list is defined by a Master type, under which different Master entries can be created. A Master Type can also be tagged to another Master Type as a Parent Master. For example:
· Country: Country can be a Master Type under which India, Sri Lanka, New Zealand, Brazil etc. can be the Master List.
· Vendor: Vendor can be another Master Type under which various vendor entries can be created.
Master Type and Master List can be created by Entity Administrators only.
Once the Super admin from Socion activates the Master List for your entity, you need to activate access to Master List for the entity from your end. This can be done under Settings in the Entity Details tab.
In the Master List tab under Entity section, you could create a Master Type by clicking on the “+” symbol in the Master Type section. Add all the relevant details for the Master Type.
Click on “Add” after all the relevant details are entered.
The Master Type would be successfully created and in “Draft” status. Now, you can create Badges under this Master Type. However, this will only be visible to you as Entity Administrator.
Whenever, you feel the Master List is fairly stable, then you can click on the desired Master Type and “Publish” the same after the details are checked. Now Master List under this Master Type will be visible to the participants from selected programs and roles in their Frontline Connect App.
Note: In case you need to edit any detail, you can click on Edit icon and make the desired edits before Publishing.
Once the Master Type is Published, you can only edit the Master type name and description and no other details
Click on the “Masters” tab. Here the Master Entries can be added under the desired Master Type
Master List entries can be added in 2 ways:
1. Individually
2. Importing from file
Create the Master entry by adding details as required under the Masters tab. In the above example, Block Master Entries are added under the Block Master Type and District is the Parent Master for Block Master Type.
Master List can also be created by Importing from the file. Follow the steps below to add master list by import from a file(s) on your desktop/laptop.
Step 1:
Click on "Download District Master Template" and the template will get downloaded
In this example, the district has State as Parent Master and has a reference ID as shown in the template
Step 2:
Open the downloaded template and add a list of all the districts as required with the name of state and reference IDs.
Please note that the header line should NOT be removed.
Save the file after entering all the details.
Step 3:
Now upload the saved file by clicking on “Choose files”
Note: If there are any duplicate entries with respect to any master names or reference ID, then it will show up as an error. You can then make the necessary corrections, save and choose the file again for importing
Step 4:
Click on “Import” and the districts will be successfully added to District Master List
The Master List can be downloaded by clicking on the "Download" icon.
You have the option to deactivate selected list of Masters or reactivate the desired list of masters by clicking on the Deactivate and Reactivate icon.
QR codes can be generated for the selected Masters by choosing the same in the associated Master Type first. To generate the Master QR codes, follow the steps below:
Step 1: Download the list of Masters. Each Master will have a corresponding url generated for the QR code in the CSV file under the column-“Master QR URL”.
Step 2: Copy and paste the URL in the browser and the QR code will be downloaded as PDF file
Once the Master Type Name and Master List are stable and finalized, you can select which of the desired roles under which programs, need to tag the Master List.
This can be done by clicking on the “Settings icon” against the desired Master Type to be tagged by the participant and/or program team and choosing the desired program and roles. Then click on "Save".
Now, all the participants who have the selected role badge(s) as well as the program team (Program Administrators, Content Administrators, Trainers, and Verifiers) will be able to tag the Master List in the profile section of their PDA Participant/Frontline Connect app.
· Keep the list required for the different masters ready from your side (Example: List of districts, blocks, health facilities etc.)
· While importing the master list, ensure to follow the steps as shared in the instructions.
· Do a final check of the details of Master Type added before publishing. Once published, you won’t be able to make any changes except the name and description. You may also not be able to create Master Types with duplicate names.
· Maintain a reference ID for Master Type, only if it is required and ensure you have the list of IDs ready before creating or importing the data.
· It is recommended to keep the parent master link as minimal, else the list of choices for the participants would be long. The participants would need to be properly instructed on the appropriate choices they have to make from the Master Lists shared.
